Client Policy

 

Summarized below are key policies, procedures, rules and regulations (the “FRC Policies”) of Formula Running Center (“FRC”, “us”, “we” or “our”) and the FRC Services.  The FRC Policies apply to all FRC clients and guests and are meant to create an amazing, enjoyable and safe experience for all of our clients. Pursuant to our Terms and Conditions, you are responsible for complying with all FRC Policies, including, without limitation, the FRC Policies outlined in this document, and FRC reserves the right to remove you from any FRC facility and/or revoke, cancel, terminate or suspend or otherwise limit your membership for any violation of the FRC Policies. Capitalized terms used herein but not otherwise defined herein shall have the meaning given to such terms in the Terms and Conditions of FRC (the “Terms and Conditions”).  

Client Etiquette:

By becoming a client of FRC, you are joining an amazing community of individuals that want to incorporate FRC Services as part of their overall fitness lifestyle.  We are absolutely welcoming of everyone that wants to use or participate in the FRC Services. Please be respectful of other FRC clients and staff at all times, no matter who they are or their fitness level.  You are expected to act in a socially acceptable manner while using the FRC facilities and the FRC Services and to be mindful of other clients’ physical and personal space. Loud, foul, slanderous language or molesting, touching, antagonizing, taunting, abusing, badgering, harassing, threatening, violent or otherwise aggressive, unsportsmanlike, indecent, inappropriate or disrespectful behavior towards other FRC clients, FRC staff or any other individual will not be tolerated, and FRC reserves the right to remove you from any FRC facility and/or revoke, cancel, terminate or suspend or otherwise limit your membership, and/or notify law enforcement authorities if you engage in any conduct or behavior that FRC, in its sole discretion, considers inappropriate, indecent, unsafe, unlawful or otherwise in violation of FRC Policies.    

Safe Use of FRC Facilities:

Use of the FRC facilities and FRC Services must be performed in such a way as to not endanger the health or safety of any person. FRC clients shall be responsible for any property damage or personal injury caused by themselves or their guests. FRC clients shall not violate any laws while in FRC facilities or while using, or participating in, FRC Services.

On Time Policy:

You must be physically present at least five (5) minutes prior to the start of your scheduled FRC service or your spot may be given to a waitlisted client (no exceptions). For the safety and integrity of FRC Services, if you arrive more than five (5) minutes late for an FRC Service, you will not be allowed to participate in such FRC Service (regardless of whether or not your spot was given to a waitlisted client) (no exceptions). 

Check-in/Check-out Policy:

Prior to participating in or utilizing any FRC Service, you must check-in for that FRC Service on one of the FRC Sites or by visiting the front desk or checking yourself in on one of the iPads available in the lobby area.  For participation in, or use of, all FRC Services other than participation in training or recovery classes, you MUST check-out with the front-desk after participation in, or use of, the FRC Service.

Cancellation Policy: YOU MUST CANCEL ANY FRC SERVICE AT LEAST TWELVE (12) HOURS IN ADVANCE. 

You may cancel any FRC Service on any FRC Site or by calling or stopping by the applicable FRC facility. If you fail to attend (or arrive more than five (5) minutes late) or fail to cancel any FRC Service at least twelve (12) hours prior to the applicable FRC Service:

    • for any FRC Service other than Assessment Services and massage and related services, you will be charged and/or forfeit such FRC Service; provided, however, if you have purchased an unlimited monthly membership package and you fail to attend or to cancel the applicable FRC Service at least twelve (12) hours in advance, you will be subject to a $20 penalty charge; or
    • for any Assessment Service and massage or related service, you will be charged and/or forfeit such FRC Service.  

Waitlist Policy:

If no reservations are available for a particular FRC Service, certain FRC Services may provide the option for you to join the waitlist for that FRC Service (each, a “Waitlist Service” and collectively “Waitlist Services”). As they become available, reservations for Waitlist Services are offered by email and/or text (depending on the preferences set up by each FRC client) to FRC clients on the waitlist on a first come, first served basis. If you are offered a reservation off the waitlist, you will have a maximum of 30 minutes to accept or decline the invitation.  If you fail to respond to such invitation within such 30-minute time period, FRC reserves the right to remove you from the waitlist and/or offer such reservation to the next FRC client in order on the waitlist. If you are offered and accept a reservation off the waitlist, you will be added as a participant in such Waitlist Service and be subject to the above mentioned FRC Service cancellation policy. If you are offered and decline a reservation off the waitlist or fail to respond to such invitation within such 30-minute time period, you will not be added as a participant in such Waitlist Service and will not be subject to the above mentioned FRC Service cancellation policy. Notwithstanding the foregoing, if a reservation becomes available within 60 minutes of the start of a particular FRC Service, such reservation will not automatically be offered to FRC clients on the waitlist.  Any such reservation will be assigned to any FRC client and/or a member of the FRC staff at the discretion of FRC and the FRC staff.

Notification of Injury or Illness:

If you are suffering or recovering from any injury or illness or if your health status has changed in any way that may have an impact on your use of an FRC Service, you must notify your coach or other FRC staff member prior to the start of such FRC Service.  

Treadmills:

Always bring the treadmill to a complete stop prior to getting off.  Never put anything on the treadmills, such as weights or other equipment.  

No Dropping or Slamming Weights:

Dropping or slamming of weights is strictly prohibited. 

Use of Any FRC Service:

The use of any FRC Service without first being shown how to properly use such FRC Service and/or in violation of FRC’s rules and regulations is strictly prohibited.

Wipe Down Equipment:

Always wipe down any equipment with a wet wipe following the use of such equipment (no exceptions).  

Use of the Whole Body Cryotherapy (“WBC”) Chamber:

You must abide by the following policies when using the WBC chamber:

    • Use of the WBC chamber without booking a session and having an FRC employee present at all times is strictly prohibited.
    • Follow all instructions given to you by the FRC staff (including if they indicate you are not eligible to use the WBC chamber) and fully and honestly answer all questions requested by the FRC staff relating to the use of the WBC chamber.
    • During use of the WBC chamber, undergarments must be worn at all times.  
    • Do not enter the WBC chamber unless your clothing and skin are dry; on the day of use of the WBC chamber, do not apply any lotions or oils to your skin prior to the use of the WBC chamber; refrain from using the restroom prior to use of the WBC chamber.
    • Use of the WBC chamber within 24 hours of shaving exposed skin is strictly prohibited.
    • Consult with the FRC staff member regarding your ability to utilize the WBC chamber if you are currently menstruating.
    • Do not sign-up or use the WBC chamber if you are under 5 feet tall.
    • Do not dip your head while in the WBC chamber or inhale the nitrogen gas that is emitted into the WBC chamber. If you dip your head the session will be immediately discontinued, and your credits will not be refunded.
    • Terminate the session immediately if you experience any pain or mental or physical discomfort at any time during the process (the door of the WBC chamber will not be locked).
    • Do not use the WBC chamber while pregnant or if you have been advised by a medical professional not to use cryotherapy.
    • Wear the required thermal socks, gloves and cryotherapy boots at all times during use of the WBC chamber.
    • Remove all jewelry from the neck down when using the WBC chamber.
    • All hair must be pinned up prior to use of the WBC chamber.
    • Do not bring food or drinks into the cryotherapy room or WBC chamber.

Use of the Full Spectrum Infrared Sauna:

You must abide by the following policies when using the infrared sauna:

    • Use of the infrared sauna without booking a session and checking-in with FRC staff prior to use in order to receive specific instructions relating to its operation is strictly prohibited.  
    • Follow all instructions given to you by the FRC staff when using the infrared sauna.
    • Do not stay in the infrared sauna room longer than your permitted time and do not stay in the infrared sauna for longer than 45 mins (the recommended length of infrared sauna sessions is 40 mins).
    • Do not bring food or drinks into the infrared sauna room; water will be provided in the room.
    • It is recommended that you consume at least 8 ounces of water prior to using the infrared sauna and at least 24 ounces of water or electrolyte drink following your infrared sauna session.
    • Lock the sauna room door behind you upon entering the sauna room.
    • During use of the infrared sauna, use of a towel or appropriate attire must be worn at all times.  
    • Do not wear shoes into the infrared sauna.
    • If connecting music to the Bluetooth, keep the music to a low volume to ensure it cannot be overheard in the recovery room.
    • Gently open and shut the sauna door.
    • Do not apply any oils or lotions to your skin prior to using the infrared sauna.
    • Do not use the infrared sauna while pregnant or if you have been advised by a medical professional not to use it.
    • Immediately discontinue the use of the infrared sauna if you feel light-headed, dizzy or heat exhausted.

Use of the Compression Sleeves:

You must abide by the following policies when using the compression sleeves:

    • Use of the compression sleeves without booking a session and checking-in with FRC staff prior to use in order to receive specific instructions relating to their operation is strictly prohibited.  
    • Follow all instructions given to you by the FRC staff when using the compression sleeves.
    • During use of the compression sleeves, appropriate athletic attire must be worn at all times.  
    • Do not use the compression sleeves for longer than your allotted time.
    • Do not apply any oils or lotions to your skin prior to using the compression sleeves.
    • Do not use the compression sleeves if you have been advised by a medical professional not to use them.
    • Immediately discontinue the use of the compression sleeves if you experience any pain or mental or physical discomfort.
    • When you are finished with your session return the compression sleeves to the chair; do not leave them on the floor or any other area of the recovery room or facility. 

Use of Cold Water Soaking Tub:

You must abide by the following policies when using the cold water soaking tub:

    • Use of the cold water soaking tub without booking a session and checking-in with FRC staff prior to use in order to receive specific instructions relating to its operation is strictly prohibited.  
    • Follow all instructions given to you by the FRC staff when using the cold water soaking tub.
    • Wear appropriate swimwear when using the cold water soaking tub.
    • No more than one person is permitted in the cold water soaking tub at any time.
    • Use of the cold water soaking tub for longer than 15 minutes is strictly prohibited (the recommended length of cold water soaking tub sessions is 10 minutes, however, if you are not accustomed to soaking in cold water, limit your sessions to 6-8 minutes and build up to longer periods of time).
    • You must shower prior to using the cold water soaking tub.
    • Do not splash water onto the walls or floors.
    • Do not bring food or beverages into the cold water soaking tub.
    • Do not apply any oils or lotions to your skin prior to using the cold water soaking tub.
    • Immediately get out of the cold water soaking tub if you experience any pain or mental or physical discomfort at any time during the use of the cold water soaking tub.

Children:

The FRC Services are intended solely for users who are 18 years of age or older; provided however, at the discretion of FRC management, a minor aged 16-17 may participate or use FRC Services with a parent (or guardian) present.  

Locker Use:

Lockers are provided solely for the benefit and convenience of FRC clients during the day. FRC staff will remove any articles left in a locker overnight.  

Pets and Bicycles:

Pets, except service pets, and bicycles are not permitted in FRC facilities, unless otherwise stated by the applicable FRC facility. 

Cell Phone and Camera Use Prohibitions:

Photography, videotaping, filming, audio recording or any other camera or recording device use is strictly prohibited in training and recovery classes, locker rooms and other private spaces, including, without limitation, the recovery room, massage room, cryotherapy room, infrared sauna room and consultation room.

Acceptable Cell Phone and Camera Use:

In addition, speaking on your cell phone, or utilizing any video chat application, is strictly prohibited in the locker rooms and other private spaces, including, without limitation, the recovery room, massage room, cryotherapy room, infrared sauna room and consultation room.  You may take photos or videos in public areas of FRC facilities (including the lobby, waiting area, “pit stop”, hallways and outdoor areas adjacent to the FRC facilities) solely for your personal use. You may not take photos or videos in FRC facilities to promote your or any third party’s business, products or services. Use of any lighting, tripods or other such equipment is prohibited. You are expected to be respectful of other clients, and you may not intentionally film another individual without their permission. If you post online or on social media a photo or video that was taken in an FRC facility and another individual appearing in that content complains, FRC reserves the right to ask you to remove the post.

Personal Belongings:

We strongly urge you to not bring valuables to any FRC facility.  You agree that FRC is in no way responsible for the disappearance, loss, theft, or damage of your personal belongings (including money, jewelry, or other valuables) while you are attending or using any FRC Service (whether in FRC facilities or outside of FRC facilities). You assume all risk of disappearance, loss, theft or damage or any of your personal belongings whether or not you store such personal belongings in a locker at an FRC facility.

Dress Code:

Proper attire is required at all times during FRC Services.  Please come fully prepared for strenuous activity during training classes.  Athletic shirts, shorts/pants and closed-toe shoes must be worn at all times during training classes. No bare feet/socks only, flip flops, sandals or dress shoes are permitted during training classes.  In certain recovery classes, such as yoga, the instructor may require you to remove footwear for the class as a condition of participation. During use of the cold water soaking tub, appropriate swimwear is required at all times.  During use of the infrared sauna, use of a towel or appropriate attire must be worn at all times. During use of the compression sleeves, appropriate athletic attire must be worn at all times. During use of the WBC chamber, undergarments must be worn at all times.  During any massage service, appropriate athletic attire must be worn at all times. During any Assessment Service, appropriate athletic attire and footwear must be worn at all times.

Towel and Robe Services:

Towel and robe services are available to our clients free of charge.  In order to minimize the environmental impact of the use of such service, please limit the use of towels to one towel and the use of robes to one robe and to only FRC clients using the recovery room.  In addition, removal of towels and robes from any FRC facility is strictly prohibited. FRC reserves the right to eliminate such service, institute a towel and robe fee, or regulate the use of towels and robes, if there is continued abuse of this service.  

Smoking and Drug Use Prohibited:

Smoking, vaping or the use of any other tobacco product, alcohol or illegal drug (including steroids) is strictly prohibited at any FRC facility or during any FRC Service; provided, however, alcohol consumption is allowed at specific promotional or social events sanctioned by FRC.  The use of FRC facilities or use of, or the participation in, FRC Services while under the influence of drugs, alcohol or medication is strictly prohibited that may impair a person’s ability to use the FRC facilities and FRC Services in a safe manner is strictly prohibited.

No Weapons:

Firearms, knives and other weapons are strictly prohibited from being brought into FRC facilities, even if you have a permit to carry a concealed weapon.

Chewing Gum Disposal:

Chewing gum may only be disposed of in waste baskets or garbage cans.
